Hotel/Site Selection

You are planning an event for 250 people and want to deliver an unforgettable experience to the attendees within a defined budget. How would you go about selecting the city and hotel for your event? 

Taking the parameters set by a client: budget, number of attendees, dates, originating location, meeting spaces required, desired local amenities, and other criteria. APMI will provide a list of locations meeting the criteria, including the pros and cons for each locations. Using this information a strategy is developed for engaging with the hotels, airlines, and other service providers to secure the most value to the client.

When searching for a location to host a meeting or incentive event APMI looks beyond the hotel and convention center. Is the city accessible via multiple airlines or is there limited airlines serving the city? Are there several hotels that could support the event? Is the hotel undergoing a renovation during the desired dates? Are there other activities scheduled in the city or within the hotel that may influence room availability, meeting space, ground transportation, or airline ticket expense? Could the weather be a factor such as hurricanes, rainy season, or the hot humid summer?

APMI will research the locations, provide options and if necessary, travel to the location, do a complete site inspection. Doing the proper amount of due diligence before a site selection is confirmed enhances the clients quality of the event.   

Selection of the hotel for a meeting or incentive program is important to the success of an event. While price, location, available rooms, and meeting services are important, there are many other aspects to the hotel selection process to help ensure a successful event.
